Competitors Management Screen¶
If you already have competitors loaded in, you can view and edit them here. To edit them, simply click on their name and edit the resulting popup box.
Note
Any changes to a competitor record will be lost if you re-sync their, or all entries.
Bulk Actions¶
There are a number of bulk operations you can perform on your competitors:
Re-syncing entries will create and update the competitor record to reflect the entries, which is useful if an entry is updated or if a competitor record is incorrectly edited or deleted.
Recalculating age groups can be useful if upon importating competitors, it hasn't automatically calcualted their age group, or if when you set up your competition you selected the wrong age group calculation. Running the function will recalcuate every athletes age group, if you changed from UKA to WA rules you would have athletes go from having U15, U17, & U20 to U16, U18, & U20.
You can run these two functions independly or together, if you've carried out edits to the competitors records and want to recalucate age groups, it is best to run Recalc Age Groups Only as it will prevents any changes being lost.
This action researches statistics for competitors within your competition, we'll search Tilastopaja, World Athletics and Power of 10 (UK Competitions only)p, to get all the data on athletes you need, making seeding a breeze.
If your competitors have entered a PB, SB, or QP during entries, these will be replaced only if we find a better performance on one of the databases.
If you run the PB Lookup (OVERWRITE) function, we'll search for each athletes PB, and overwrite any data already inputted, rather than only putting in better performances or filling in the blanks. This is useful if you're worried athletes have inputted a false time.
Bulk Loading Competitors¶
To add competitors in bulk, scroll to the bottom and click BULK ADD / DELETE. (This is easiest done if copying from a pre-prepared spreadsheet).
The Bulk Add Competitors screen will appear:
Bulk Add Fields
- Competitor ID - An athlete's bib number. If you have not yet given your competitors numbers, leave this blank and you can use numbering within OpenTrack later.
- National ID - An athlete's national license number. You can leave this blank if they do not have one or if you do not know it.
- First Name
- Last Name
- Gender - Select M, F, or X
- Date of Birth - yyyy-mm-dd format
- Team ID - The code representing an athlete's club. Search the club list if you don't know the codes, or contact support@opentrack.run if you can't find one.
- Event - Input the Event ID (not the code) of the event they are competing in. You must
- PB/SB - An athlete's PB/SB, if known. Displayed on start lists/results, and used for seeding.
Athletes Entering Multiple Events
If your athletes are entering multiple events, you must repeat the row for the athlete, just changing the Event, PB, and SB.
Once you're happy, just hit the SAVE button and wait for the background task to load the athletes into your competition.
Deleting All Competitors¶
The option to delete all competitors within a competition is also on the Bulk Add Competitors screen.
Simply click the DELETE ALL button, and confirm the prompt that appears.
Warning
Using this option will delete all competitors in your competition.
Bulk Renumbering Competitors¶
If you've numbered athletes outside of OpenTrack, due to a timing company using their own numbering system or your event is incorporated into a larger event, you won't be able to use our numbering system and will need to assign athletes their bib number in OpenTrack in order to upload results.
To bulk re-number first you will need to get a list of all your athletes with their current bib number, this will most likely be the tempory bib number we assign to all competitors. The easiest way to do this is go to the downloads page, and get an XLS download of the competitors. Then get the list of your competitors with their new bibs, and align them, giving a list of old and new bibs.
Then click the BULK RENUMBER COMPETITORS button at the top right of the page, which will give you a grid to paste your list of old and new bibs in. Then click SAVE to begin the task of updating each competitors bib number.
Have you already created startlists or uploaded results?
If you've previously numbered athletes and created start lists or uploaded results, these will no longer be accurate as the only data stored is the lane number, performance and bib number. Therefore by renumbering athletes, either incorrect athletes or "unkown athlete" may be dispalyed in your old start lists or results.
Adding Individual Competitors¶
If you have just one or two competitors to add, click the ADD NEW COMPETITOR button at the top right of the page:
The Add New Competitor dialog box will appear:
First, search using the athlete lookup to see if they are already in our database. If not, input their details.
Bold fields are required.
To add events to your new competitor, go to Events Entered and click the checkbox next to each event you want to add.
Event Fields
- PB/SB/QP - An athlete's PB/SB/QP, if known. Displayed on start lists/results (except QP), and used for seeding.
- No score - When ticked, athletes will not score any match points in an event.
- Order/Info - Ignore these boxes.
Once you're happy, just hit the SAVE button.
