Call Room¶
Our call room function allows you to check athletes into their event as they report at their call room time, and then allows you to mark those who haven't turned up as a DNS, ensuring all your officials know who is and isn't running.
Setup¶
Head to the Advanced Eligibility section of the Entry Configuration management screen, select Require call room per event, and define the separate track and field call room times.
The call room time sets when the call room will close and you can no longer utilise it, meaning athletes must be at the call room by the set time.
If you are running an open meet without a call room, you can still utilise this feature by setting the call room time to null meaning there should be no value. This will prevent the call room from closing.
Individual Event Configuration¶
You can choose to just use the call room for specific events, and change the call room time for a specific event. You need to head to the management pages, go to Events and Scoring, and scroll down past the event grid, to where you can click on an event to pull up its Advanced Configuration settings.
You can tick Call Room to require the call room for this event, regardless if it is not set for the entire competition, and you can set the Call Room time override to have a different time than that as the one set for all track events or all field events. This can be useful for events like pole vault which have a long warm up, therefore require a early call time.
Operation¶
Once everything is configured, you must inform athletes when they need to report to the call room by, this will be displayed to athletes in the event list with a column for Call Room ensuring athletes know when they need to report to the call room as well as when their event is due to start.
To use the call room feature, head to the event you're managing call room for, via the event list. You should see a Call Room column in the start list, where you can tick to check athletes into the call room.
Once you've checked everyone in, you can click the grey cog to pull up a number of functions. Click DNS No Shows to mark as those who aren't checked into the call room as a DNS, informing all officials and spectators that they won't be running.
Once you've checked everyone in, and marked the no shows as DNS, you are ready to run the event, with everyone aware of who is and isn't starting.
